How to Use TheAgencyIQ
TheAgencyIQ is powered by Qy!, a multi-agent system that turns your brand purpose into a complete social media schedule, publishes across connected platforms, and keeps your content flow healthy behind the scenes. Everything follows a deterministic journey — driven by backend state, not guesswork.
1. Sign in or create your account
Start at app.theagencyiq.ai.
Once you are signed in, the backend determines where you are in your journey and routes you to the correct next step automatically. You do not choose where to go. The system sends you to your next required step based on what is actually complete.
Your journey follows this sequence:
Sign in → Complete Brand Purpose → Connect platforms → Generate Smart Schedule → Review and approve posts → Publish → Monitor results
Each step is a gate. You move forward when the previous step is genuinely complete.
2. Complete your Brand Purpose
Your Brand Purpose is the foundation for everything Qy! creates.
You can complete it two ways:
- Fill in form — fill each field directly at your own pace
- Chat with Qy! — have a conversation with Qy! and it will extract your brand information from your answers, then populate the form for you
Both methods save to the same place. You can switch between them at any time.
What you are filling in:
Brand Name, Products/Services, Core Purpose, Target Audience, Job To Be Done, Motivations, Pain Points, Business Goals, and your website URL. These fields become the AI's persistent understanding of your business — the source material for every caption, timing decision, and publishing strategy Qy! generates.
Real-time quality scoring:
Each field is scored as you type:

Fields that score "Room to improve" unlock the AUTO assist button. AUTO reads your stronger fields and generates suggestions for the weaker ones. It elevates what you write — it does not invent your identity.
Note: Your Brand Purpose is checked for content safety. If it violates the Acceptable Use Policy, it will be rejected before saving.
3. Connect your social platforms
Next, connect the platforms you want TheAgencyIQ to publish to.
TheAgencyIQ supports multi-platform publishing across Facebook, Instagram, LinkedIn, X, and YouTube.
Platform status badges:

Connection health banner:
At the top of the Connect Platforms page, a health summary banner monitors all your tokens:
- Green — all connections are healthy; publishing is ready
- Amber — one or more tokens are expiring soon; TheAgencyIQ is refreshing them automatically — no action needed from you
- Red — one or more connections need your attention; reconnect the affected platform to restore publishing
For Instagram:
The standard option is "Instagram Login" — quick setup, no Facebook Page required. If your account requires full Meta Business Suite access, an advanced option is available that links your Instagram account through a connected Facebook Page.
For Facebook:
Uses a full-page redirect to the Facebook login flow, then returns you automatically to the Connect Platforms page once the connection is complete.
What makes a platform eligible for scheduling:
A "Connected" badge means your connection is active. For a platform to be eligible for schedule generation, the backend must also confirm that the platform health check passes and no reconnection is required. TheAgencyIQ will tell you clearly if a platform cannot be used for scheduling.
4. Choose Manual or Set & Forget mode
On the schedule page, a toggle lets you choose how much control you want over publishing.
Manual mode
When Manual is active, posts are created as pending. You review each post, approve it, and control when it publishes. Nothing publishes until you approve it.
Use Manual when you want to review every post before it goes live.
In Manual mode, you can also edit post timings in the calendar. Set & Forget users cannot edit the calendar — they must switch to Manual first.
Set & Forget (AUTO) mode
When Set & Forget is active, posts are created as approved at generation time. They publish automatically when their scheduled time arrives, provided they pass the publish gate.
Use Set & Forget when you want TheAgencyIQ to run the publishing flow without your involvement.
Switching modes
You can switch between Manual and Set & Forget at any time — except during content generation. The toggle is disabled while the Waterfall is running.
Switching mode does not alter existing posts. Posts already generated keep their current approval status.
5. Generate your Smart Schedule
Once your Brand Purpose is complete and at least one platform is connected and healthy, click Generate Smart Schedule.
TheAgencyIQ creates a schedule of approximately 30 posts and immediately begins filling them through the content generation pipeline. Your schedule appears on screen quickly — individual posts become ready progressively as the agent completes the content work.
While generation is running, the schedule page shows a "Waterfall running" banner. When all posts are ready, the banner updates to "Waterfall complete" and manual actions (approve, edit) become available.
If no healthy platforms exist at generation time, the schedule will not be created. TheAgencyIQ returns a clear error instead of generating posts that have no valid publishing destination.
6. Review your schedule
Open the schedule to see your upcoming posts.
Each post reflects its actual saved state — never a guessed or inferred label. Key visible status labels:

Each post shows its caption, scheduled time, platform, whether it includes video, and its current approval status. Video state and text state are tracked independently — a video issue on one post does not affect the caption or other posts.
In Manual mode: An Approve button appears for each post once the content is ready. Approve buttons are disabled during the Waterfall. Nothing publishes until you approve.
In Set & Forget mode: Posts were approved at creation. They will publish at their scheduled time if all publish gate conditions are met.
7. Understand video behavior
Some posts include video, depending on your plan and a content confidence assessment made at generation time.
TheAgencyIQ treats text and video as independent pipelines. A video issue does not block the caption from publishing when the post can safely publish as text-only.
Before any video job starts, TheAgencyIQ scores the creative decision. If the confidence score falls below the required threshold, the post is set to text-only — no video job is started. This is a deterministic rule.
Video states:

Retry and compensation:
If a video fails, TheAgencyIQ attempts one retry. If the video fails again, the failure is terminal. When a terminal video failure occurs before a post has been published, TheAgencyIQ grants exactly one compensation post linked to the original. Compensation cannot be triggered twice for the same post.
8. Publish your posts
Publishing is governed by a strict gate. A post may only publish when all of the following are simultaneously true:
For a text-only post:
- Post is scheduled
- Post is approved
- Content is ready and present
For a post that includes video:
- All of the above, plus video is ready with a valid video asset
For any post:
- The platform connection is active and healthy
If any condition is not met, the post is not published. The outcome — success, failure, or skipped with a specific reason — is recorded. Nothing fails silently.
Set & Forget: Approved posts publish automatically at their scheduled time when the gate passes. No action from you.
Manual: You approve posts individually. Re-triggering publish on an already-published post is safe — it has no effect and does not create duplicates or double-deduct quota.
Quota: Your post quota is deducted only when a post publishes successfully — never for generation, failures, or skipped attempts.
9. Track your published content
After posts publish, use the dashboard to monitor what has gone live.
Every publish attempt — success, failure, or skipped — creates a record. You can see exactly what published, when, and on which platform, and why any post was not published.
10. Keep your content system healthy
- Update your Brand Purpose when your business changes. Content quality follows brand clarity.
- Reconnect platforms when a platform shows "Reconnect required." An expired token cannot publish.
- Expiring tokens (amber banner) are refreshed automatically — no action needed.
- Use Manual mode when you want to review every post before it goes live.
- Use Set & Forget mode when you want TheAgencyIQ to handle publishing without your involvement.
- Review Failed posts. A failed post shows what went wrong. Regenerate where the option is available.
- Regenerate your schedule when your strategy changes.
