First-day walkthrough

What good looks like by end of day one.

Start at app.theagencyiq.ai. Before editing anything, the operator confirms:

  • Signed in as the agency user, not a client reviewer.
  • Correct client brand is active in the header or brand switcher.
  • Workspace is not showing another client's content.
  • Next action matches the correct training step.
  • Nothing looks cross-brand.

By end of day one:

  • The agency user can see the correct client brand in the header.
  • The Brand Purpose is saved for the client brand.
  • Asset references are present and permission-labelled.
  • A content schedule exists for the active brand.
  • The client does not have final approval or publishing controls.
  • The agency team knows where the proof pack will come from at the end of the cycle.

If anything looks cross-brand, the operator stops before editing. That rule is central to TheEverythingPlaybook.

Step 01

Subscription and agency plan

Confirm the agency plan and understand the available business and agency pricing options.

Step 02

Agency Brands

Where client brand workspaces are created and managed. Confirm the correct brand is active before doing any work.

Step 03

Brand Purpose

Where the client master brief is captured: purpose, audience, offer and voice. The Brand Purpose gives Qy! the foundation it needs to generate more relevant content.

Step 04

Asset References

Add external asset URLs and set permission status. Asset References are not a full digital asset management system — they are external references with metadata and permissions.

Step 05

Schedule

Generate and review the content schedule for the active client brand. Where content moves from internal review toward client feedback and agency final approval.

Step 06

Client Review

Send a private client review link for scoped posts only. The client can comment and give feedback, but cannot approve or publish.

Step 07

Agency final approval

Apply final approval after client feedback has been reviewed and handled. Final approval remains owned by the agency team.

Step 08

Publishing

Publishing happens through the governed flow — not through memory, shortcuts or assumptions.

Step 09

Proof Pack

Download a neutral proof pack after the work is delivered. The proof pack should be suitable to attach to the agency's invoice.

Analytics and next-cycle learning

Review the completed cycle, understand what improved and use that learning to support the next cycle.

Permission rules

The rules that keep agency workflows safe.

Client review is feedback, not final approval.

A client can review, comment, request changes or signal that a post looks good. That feedback does not publish anything. The agency still applies final approval through the schedule approval controls.

Asset References are not a DAM.

Asset References are external URLs with metadata and permission. Qy! does not copy or manage a full client asset library. The agency decides whether an asset is approved, reference-only or do-not-publish.

Approved

The agency has permission to use the asset. It can appear in published work.

Reference-only

The asset is useful for understanding style or context, but it cannot appear in published work.

Do-not-publish

The asset is blocked for use and should not guide outputs.

Proof packs are neutral.

A proof pack is evidence of work delivered. It should be client-safe, neutral and suitable for the agency to attach to its own invoice. It should not read like internal Qy! marketing.

When to stop

Operating discipline: when something does not look right.

  • !A client review screen shows approval or publish controls.
  • !A reference-only asset appears as something Qy! will publish.
  • !A do-not-publish asset appears anywhere in the schedule or proof pack.
  • !A screen displays another client's brand, posts or asset references.
  • !A proof pack includes internal Qy! notes.
  • !A proof pack shows the wrong client name.
  • !A route or screen returns an error.

The aim is not to make operators technical. The aim is to make them careful, confident and clear about when to continue and when to stop.

Visual verification

Most checks are visible — no developer commands required.

  • The correct brand name is visible in the header or brand switcher.
  • Brand Purpose fields are saved and still visible after refresh.
  • Each asset URL has a visible permission label.
  • Schedule posts appear under the active brand only.
  • The client can comment but cannot approve or publish.
  • The proof pack downloads and shows the correct brand and period.

Technical verification belongs to the founder or internal admin when a claim must be proven more deeply. For daily agency use, operators are trained to use calm, specific recovery language and avoid giving clients internal diagnostics.

Client-facing language

How to explain the workflow to clients.

Qy! supports the workflow, but the agency owns the relationship, judgement and final approval.

The full Everything Playbook training is for Agency Partners. Small-business users on the first three subscription levels receive practical onboarding rather than the full agency training program. This onboarding helps small-business users understand the basics:

  • How approvals work.
  • What to check before publishing.

Launch commitment
